2. Cancellation — Month-to-Month Plans
2.1 How to cancel
Month-to-month clients may cancel their service at any time by submitting a written cancellation request to SmartCallPro via email to compliance@smartcallpro.cz. Verbal cancellations are not accepted. Cancellation requests must be submitted in writing to be valid.
2.2 Notice period
A cancellation notice period of ninety (90) days applies to all month-to-month plans. The ninety (90) day notice period runs from the date written notice is received by SmartCallPro and the client is billed in full at the prevailing monthly rate for the entire notice period.
2.3 Final billing during notice period
The client will be billed in full at the prevailing monthly rate for each calendar month (or part thereof) falling within the ninety (90) day notice period. No partial month billing applies under any circumstances.
2.4 Example
If written cancellation notice is received by SmartCallPro on the 10th of March, the ninety (90) day notice period runs through to the 8th of June. The client is billed in full for March, April, May, and June, and service terminates at the end of June.
2.5 Service continuation
The Smart Call Assistant service will continue to operate normally throughout the notice period and final billing month. The client remains entitled to full use of the service until the termination date.
3. Cancellation — Annual Contracts
3.1 Full term commitment
Annual contract clients are committed to the full twelve (12) month term of their agreement. Annual plans may not be cancelled early. If a client submits a cancellation request during the term, the subscription will continue until the end of the contract term. No refund is issued for any remaining period.
3.2 End of annual term
At the end of the twelve (12) month term, the agreement will automatically convert to a month-to-month plan at the prevailing monthly rate unless:
- The client gives thirty (30) days written notice of non-renewal prior to the end of the term, or
- Both parties agree in writing to renew on annual terms
4. Refunds — Monthly Fees
4.1 No refunds once billing period has commenced
SmartCallPro does not issue refunds for any billing period that has already commenced. Once a monthly fee has been charged, that fee is non-refundable regardless of the circumstances, including but not limited to:
- The client's decision to cancel mid-month
- Reduced call volume or non-use of the service during the billing period
- Dissatisfaction with the service
- Technical issues covered by the Service Level Agreement
- Changes in the client's business circumstances
4.2 Annual contract monthly payments
Monthly payments made under an annual contract are non-refundable once charged. All monthly payments for the full twelve (12) month term remain due and payable regardless of whether the client continues to use the service. If a client cancels during the annual term, the subscription will continue until the end of the contract term.
5. Refunds — Annual Upfront Payments
5.1 No refunds
SmartCallPro does not issue refunds for annual upfront payments under any circumstances. If a client cancels during the annual term, the subscription will continue until the end of the contract term. No partial refund is issued for the unused portion of the term.
6. Setup Fees
6.1 No setup fees
SmartCallPro does not charge any setup or activation fees on month-to-month or annual plans. Onboarding and configuration of the Smart Call Assistant are included in the plan price.
7. Billing Disputes
7.1 How to raise a dispute
Clients who believe they have been incorrectly charged must raise a billing dispute in writing by emailing compliance@smartcallpro.cz within fourteen (14) days of the invoice date. Disputes raised after fourteen (14) days of the invoice date will not be considered.
7.2 Information required
Billing dispute submissions must include:
- The invoice number and date
- The amount in dispute
- A clear explanation of why the client believes the charge is incorrect
- Any supporting documentation
7.3 Undisputed amounts
Clients must pay all undisputed portions of invoices by the due date regardless of any ongoing billing dispute. Withholding payment of undisputed amounts during a dispute period constitutes a breach of the Client Service Agreement.
7.4 Resolution
SmartCallPro will acknowledge receipt of all billing disputes within five (5) business days and will provide a resolution within fourteen (14) business days of receiving the complete dispute submission. Where a dispute is upheld, any overpayment will be applied as a credit to the client's next invoice.
8. How to Submit a Cancellation or Refund Request
All cancellation and refund requests must be submitted in writing via email to:

- Subject line: Cancellation Request — [Company Name] or Refund Request — [Company Name]
Requests submitted through any other channel will not be considered valid until confirmed in writing by email.
SmartCallPro will acknowledge receipt of all cancellation requests within two (2) business days and will confirm the cancellation date and final billing month in writing.
9. Amendments
SmartCallPro reserves the right to amend this Refund and Cancellation Policy at any time. Updated versions will be published at https://smartcallpro.cz with a revised effective date. Clients will be given thirty (30) days written notice of any material changes. Continued use of the service after the notice period constitutes acceptance of the updated policy.
10. Governing Law
This policy is governed by the laws of the Czech Republic. Any disputes arising from or in connection with this policy shall be subject to the exclusive jurisdiction of the competent courts of the Czech Republic.
